Smarter Content Better Governance Real Control in Microsoft 365

SharePoint Concierge Webinar Recap: Smarter Content, Better Governance, Real Control in Microsoft 365

On January 29, 2026, the dataBridge team hosted another SharePoint Concierge webinar, walking through newly released and often misunderstood Microsoft 365 capabilities that directly impact governance, security, and day-to-day operations.

From archived content search to Content AI automation and advanced permissions reporting, this session focused on practical tools administrators and platform owners can use right now.

Below is a recap of each topic covered—and why it matters. This is one of the many areas where our SharePoint Consulting Services help organizations move from features to strategy.

Master Archived Content Search in Microsoft 365

Microsoft’s new Microsoft 365 Archive feature changes how organizations manage inactive content without losing visibility or compliance.

Evelyn walked participants through:

  • How Microsoft 365 Archive works and when to use it
  • How archived content remains searchable in SharePoint and OneDrive
  • Permission requirements for accessing archived sites
  • The step-by-step process for reactivating archived content when needed

This session clarified a common misconception: archived content isn’t “gone.” With the right permissions, it remains discoverable, compliant, and recoverable—making it a powerful tool for reducing sprawl without sacrificing access.

Simplify Metadata with SharePoint Document Library Forms

Dylan introduced the new SharePoint Document Library Forms feature, which provides a more user-friendly way to capture metadata at the document level.

Key topics included:

  • How to configure document library forms
  • Managing metadata through a structured, form-based experience
  • Understanding the permissions model
  • Customization options—and current limitations
  • When forms make sense versus traditional library views

Hayden wrapped up with practical use cases, including scenarios where forms reduce user friction and improve metadata quality—especially for departments that struggle with consistent tagging.

Automate Labels with Content AI Rules in SharePoint

Ken delivered a deep dive into Content AI in SharePoint (formerly Syntex) and how organizations can use it to automate compliance.

The session covered:

  • Applying sensitivity labels automatically
  • Assigning retention labels based on document classification
  • Training and deploying classification models
  • Licensing requirements and cost considerations
  • Current limitations and where manual controls still matter

This segment reinforced a key message: automation works best when governance and information architecture are already well-designed.

Audit Permissions with the Ultimate Access Report

Permissions remain one of the most persistent SharePoint challenges. Leona demonstrated the new Site Permissions for Users report in the SharePoint admin center.

Attendees learned how to:

  • Meet prerequisites for running the report
  • Generate the permissions report at scale
  • Interpret direct, group, and inherited access
  • Export results for audit and review
  • Understand external sharing visibility

Leona also addressed a participant’s question about external user details, helping clarify what the report does—and does not—include today. Learn more about SharePoint Security and Compliance

Why This Webinar Matters

Each topic reinforced a consistent theme:
Modern SharePoint success depends on visibility, governance, and intentional design—not just features.

From archived content to AI-driven labeling and permission reporting, Microsoft continues to add powerful tools. The organizations that benefit most are the ones that understand how those tools fit into a broader governance and adoption strategy.
